Your Questions, Answered

  • Trick question - (but it’s one we get all the time!) The Grove Theater is not a for-profit venue, so it does not “rent” its space…

…but it obviously costs money to maintain.

If you’re able to - we appreciate and encourage donations towards the use & upkeep of our facility. For more information, please read “Step 4 - Giving Forward” under the “Booking the Theater” tab.

  • As a general rule of thumb - we try not to book events with new user groups more than 6 months in advance. We find this helps cut down on cancellations and keeps our calendar flexible.

‍Regular/repeat user groups are invited to attend an annual champagne brunch in January - at which time we encourage groups to coordinate and schedule their recurring events (ie, annual or seasonal events) further in advance. For more information, contact our theater admin at historicgrovetheater@gmail.com.

  • Once you decide you’d like to book the theater, you’ll need to:

    • Chose an available date/time from our reservation calendar (“Step 2” under the “Booking the Theater” tab).

    • Fill out a facility use agreement form (“Step 3” under the “Booking the Theater” tab.

    • Allow a few days for your reservation request to be processed - but check your inbox (and spam folder!) for a response.‍ ‍Our theater admin holds office hours on Monday and Friday mornings from 9am - noon and will contact you with information about next steps and to schedule a facility walk-through.

    • If applicable - please forward promotional images and info regarding ticket sales to our theater admin at historicgrovetheater@gmail.com.

  • If you choose to serve alcohol at your event, you are responsible for obtaining a beer permit with the city of Oak Ridge and insurance for your event. Please provide proof of permit and insurance to our theater admin before the date of your event.

Please read and review our full alcohol policy here alcohol-policy

  • Event insurance is not typically very expensive; we can direct you to an insurance agent that can help you with that if needed.

  • Please let us know as soon as possible if you need to cancel or postpone an event!

  • We do know a few individuals who are well-versed in our sound and light equipment. We cannot guarantee they will be available - and they do charge for their services - but we can put you in contact with them. Just ask in your facility user agreement form!

  • The Grove Theater has dedicated parking behind the building (accessible from Robertsville Road). There is plenty of free public parking throughout the Grove Center business neighborhood; but please be considerate of other businesses! If at all possible, encourage your attendees to avoid parking in front of businesses if they are open.

  • The Grove Theater has an account with Eventbrite if you wish to use their online platform for ticket sales. Eventbrite’s fees for this service can be bundled into your ticket price or deducted from your proceeds.

  • It is not in our scope to provide marketing advice—but we do try to share events via our website and social media (Facebook)!

  • Our lobby has a convenient drop-box if you’d like to leave a donation on the day of your event! Checks should be made out to Friends of the Grove.

You can also mail a check to 123 Randolph Rd - Oak Ridge, TN 37830.
